What Are Groups and Shared Budgets?

Overview

Groups allow you to organize your fleet into logical units—such as branches, regions, or projects—while managing spending through a shared budget.

Instead of assigning money to each driver or vehicle, you allocate one budget to a group, and all assigned members automatically spend from the same pool.

What Is a Group?

A Group is an organizational container used to manage spending for a specific part of your business.

You can create groups to represent:

  • Company branches (e.g., Riyadh Branch, Dammam Operations)

  • Regions

  • Projects

  • Departments or fleet teams

Each group operates independently while still being part of the same company account.

What Is a Shared Budget?

A Shared Budget is a single pool of funds assigned to a group.

All vehicles and drivers assigned to that group spend from this shared pool automatically—without needing individual balances or manual allocation.

Example:
If a group has a monthly budget of 100,000 SAR, all assigned vehicles collectively spend from that amount.

How Groups and Shared Budgets Work Together

The structure works like this:

Company → Groups → Vehicles & Drivers → Transactions

  • The company holds the main account

  • Groups control how budgets are split across branches or projects

  • Vehicles and drivers operate within their assigned group

  • Every transaction reduces the group’s shared budget

This structure provides visibility and control without adding complexity.

Why Use Groups?

Groups are designed to simplify fleet operations and improve budget control.

Key Benefits

  • Less Admin Work
Allocate funds once per group instead of managing individual balances.

  • Operational Flexibility
If one vehicle is in maintenance and another works overtime, the active vehicle can utilize the shared funds automatically. The budget adapts to your operations..

  • Clear Accountability
Track spending by branch, region, or project in real time.

  • Scales With Your Business
Easily add new vehicles or branches without restructuring budgets.

Who Should Use Groups?

Groups are ideal for:

  • Companies with multiple branches

  • Fleets operating across regions

  • Project-based operations

  • Finance teams that want clearer cost ownership

Important Things to Know

  • Each vehicle or driver can belong to one group only

  • Groups manage total funds, not daily limits

  • Daily limits and spending rules are handled separately through Policies.
